How we inspect, plan, test and check a migration, including member data, memberships, payments and launch-day support.
Why clubs put off switching.
They are usually worried about broken payments, missing member records and the amount of work landing on an already busy team.
A club can dislike its current system for years and still decide that moving feels too risky. The problems with the old system are familiar; the problems that might come with a migration are not.
We do not tell every club that moving will be easy. Providers expose different exports, memberships do not always map neatly and payment arrangements can depend on third parties. Some moves need action from staff or members.
We inspect those details before launch. Then we agree what can move, run a test, check the imported records, list anything unresolved and stay directly involved while the club goes live.

Inspect the current system
Review the available exports, memberships, classes, packs, payment routes, locations and any help needed from the current provider.

Agree what can move
Write down the supported records, exclusions, timing and any action needed from staff or members.

Run a test migration
Map the agreed data into Connect and keep invalid, missing or unclear records on an exception list.

Check the imported data
Compare records and totals with the source so missing, duplicate or incorrectly mapped data can be investigated.

Prepare the club for launch
Finish or assign open actions, brief staff and tell members clearly if they need to do anything.

Stay through go-live
The founders remain directly available while Connect becomes the live system and launch issues are resolved.
What we can move.
It depends on the records your current provider makes available and whether they can be mapped safely.
The scope may include member and contact details, memberships and status, classes and schedules, credit packs, locations and other records needed to run the club. We list the records individually before work starts.
- Member and contact records available in the agreed export
- Membership plans, assignments, dates and status where the source supports them
- Classes, schedules, packs, blocks and related balances where they can be mapped safely
- Location, staff and operational relationships included in the agreed scope
- Payment-route information that can be transferred or connected without handling card details
Older history is not always needed in the new system. In some cases it is safer to move the records needed to run the club and keep a secure archive of the rest. We make that decision with you and record what is excluded.
How we handle payment arrangements.
Moving a member record does not automatically move the authority to collect their payments.
We never ask you to send members’ card details. The available route depends on the current payment provider, who holds the mandate or recurring instruction and what transfer options they support.
Some payment arrangements can continue while Connect becomes the club system. Others need a provider transfer, a new instruction or an action from the member. We check this before launch and tell you what applies.
The plan also covers how payments will be checked after launch, who deals with exceptions and how we avoid collecting twice or assuming a mandate exists when it does not.
How we check the imported data.
A successful import message only tells us that the job finished. We still compare the result with the source.

Record counts
Compare expected and imported totals by record type, location and status.

Duplicates and member matches
List likely duplicates and unclear matches instead of silently merging or creating them.

Memberships and balances
Check dates, plans, status, remaining credits and other values that affect access or money.

Unresolved records
Give every exception a reason, an owner and a decision before or after launch.

Test the member journey
Use realistic accounts to test sign-in, bookings, membership details, payments and staff support.
Planning launch day.
The timing needs to work for members, staff, bookings and payment dates, not only for the database import.
Choose a launch window around booking demand, payment dates, staffed hours and the time needed to fix exceptions. If necessary, control changes in the old system so the final export does not keep moving.
Staff need to know which system is live, how to find a member, what to do when a record looks wrong and who to contact. Members only need clear instructions for the actions that affect them.
Keep the old system or exports available, in line with your contract and data-retention duties, until the checks are finished. They may be needed to investigate a mismatch.

Migration questions.
How long does a gym software migration take?
It depends on your current system, memberships, payment routes, locations and the quality of the exports. We inspect those first and then give you a realistic timetable.
Will every historical record move?
Not always. We agree which history is useful and available. Anything that will stay in a secure archive or cannot be moved is listed before launch.
Do members need to send their card details?
No. We never ask you to provide members’ card details. The payment route depends on the current provider and collection method, and we explain clearly if any member action is required.
How do you know the import is correct?
We compare the records and totals in Connect with the source. Missing, duplicate and incorrectly mapped records stay on the exception list until they are investigated.
Is migration included in the subscription?
Yes. Account setup and the migration work we agree with you are included. We inspect the source before confirming exactly what we can move and how long it will take.
Who helps us on launch day?
You have direct access to the Go Grow Connect founders, including on WhatsApp. We stay involved while the club goes live and any remaining issues are worked through.
